Board Positions
The Ilda board is responsible for overseeing the operation of Ilda. The boad generally meets once a month for 1 and half to 2 hours. During the summer season, sometimes meetings can be held a little more often. Board terms are three years in length. Below is a description of each position.
- President - Preside at the annual meeting and at all meetings of the board. Call regular and special meetings of the board or the membership as necessary. Assure that the books, reports, statements and certificates required by the pool by-laws, the state and other appropriate governmental authority are properly kept, made and filed.
- Vice President - The Vice President has all the power, authority and duties of the president during the absence of the president. Vice President also ensures that the Ilda soda machine stays functioning and stocked.
- Treasurer - Responsible for all funds, securities, valuable papers, and other intangible assets of the pool. Provide and maintain full and complete records of all assets and liabilities. Prepares and submits at each board meeting a financial statement. Makes a full financial report including a proposed budget for the following year, at the annual meeting.
- Secretary - Prepare, maintain and publish full minutes of all meetings of the members and of the Board, provide proper notice of all meetings to the membership and the Board. Shall maintain the record of membership of the Association and shall perform such other duties as customarily pertain to the Office of Secretary.
- Maintenance - Takes care of the capital assets of the pool that are not handled by the Pool Management company. This principly includes the building and grounds. The scope of work spans the pool season and also the off season after the pool is closed. Generally during the pool season, work is focused on items such as lawn mowing inside the fenced area, minor plumbing repairs in the changing rooms (dripping faucets, clogged sinks, etc), and grounds work outside the fence. In the off season larger jobs can be handled at the discretion of the Board and as volunteer help allows. Projects typically include shrub triming and pruning, leaf removal, and repairs to screens, doors, light fixtures, plumbing fixtures, etc. as needed, But you can also tackle capital improvements such as garden shed renovation, storage area clean up, fence repairs, and rope border replacements. There are always a number of pool members that will help but somebody has to take the initiative to create, lead, and purchase supplies for any of these projects. The Maintenance Board member is that person.
- Membership - Main point of contact for those interested in joining Ilda. Along with the treasurer and secretary, responsible for managing membership administration and dues collection, as well as management of Active Member share records.
- Operations - Main point of contact for the pool management company. Responsible for dealing with the guards and any staff issues. Also responsible for purchasing basic pool operating supplies throughout the season, such as Pine Sol, paper towels and band aids. On years when the management contract is up for renewal, responsible for leading the request for proposal process.
- Social - Organize the schedule of June and July Friday Night Socials. Weekly duties include maintaining social supplies using Costco shopping volunteers; coordinating setup and clean up for the socials; emailing social committee volunteers for sides, desserts, and servers. Also promoting and coordinating other social events including Labor Day Bash, Ildafest and other opportunities as they arise.
